How we help sole traders

Trades, creatives, instructors, consultants and everyone else who works for themselves.

Your tax return, done and filed

We prepare your return, go through it with you, file it and tell you exactly what to pay and when. No January panic.

Making Tax Digital, set up and run

We check whether and when MTD applies to you, set up software that meets HMRC’s rules and send every quarterly update.

Every expense you’re entitled to

Use of home, mileage or vehicle costs, phone, tools, equipment and capital allowances. We look for what you’ve missed, not just what you’ve sent.

Bookkeeping, if you want it

Keep your own records and we check them, or choose Shoebox and send us the receipts and bank statements. We do the rest.

No surprise tax bills

We explain payments on account before they land and give you a figure to set aside, so January isn’t a shock.

Starting out or switching

Just gone self-employed? We register you with HMRC. Moving from another accountant? We handle the handover.

Making Tax Digital for Income Tax

It’s turnover that counts, not profit.

The threshold is your combined self-employment and rental income before expenses. Over it, you need digital records, a quarterly update to HMRC and a final declaration after the year ends.

Example

A mobile hairdresser turns over £34,000 and takes home £21,000 after products and travel. It’s the £34,000 that counts, so MTD applies once the threshold drops to £30,000.

Worth knowing

Five minutes that could save you money.

The questions we get asked most by sole traders, answered plainly.

Mileage or actual costs?

For a car or van you can claim a flat 45p per business mile for the first 10,000 miles and 25p after that, or a share of the real running costs plus capital allowances. Once you use the mileage rate for a vehicle you stay on it for as long as you have that vehicle, so it’s worth getting the first choice right.

Example8,000 business miles at 45p takes £3,600 off your taxable profit.

Payments on account

If your tax bill is over £1,000, HMRC usually asks for half of next year’s bill in advance, on 31 January and 31 July. In your first year that can mean paying a year and a half’s tax in one January. We warn you early and tell you what to put aside.

ExampleA first bill of £4,000 plus a £2,000 first payment on account means £6,000 due on 31 January.

Working from home

Claim a flat £10, £18 or £26 a month if you work 25 to 50, 51 to 100, or over 100 hours a month at home. Or claim a fair share of your actual heating, power and broadband. We work out which gives you more.

Scottish rates, UK-wide National Insurance

If you live in Scotland, income tax on your profit is charged at Scottish rates, with six bands from 19% to 48%. Class 4 National Insurance follows UK rules. Calculators built for England won’t give you the right answer.

Cash basis is now the default

Since April 2024 most sole traders work out profit on money in and money out, rather than invoices raised. It’s simpler, but not always the best fit. If you carry stock or large unpaid invoices, the traditional basis can give a fairer figure. We’ll tell you which suits you.

Dates to know

5 October: register with HMRC if you started trading in the last tax year. 31 January: file your return and pay what’s due. 31 July: second payment on account. Miss a deadline and penalties follow, even if you owe nothing.

Things sole traders usually ask

Do I need to register as self-employed?

If your self-employed income is over £1,000 in a tax year, yes. Register with HMRC by 5 October after the end of the tax year you started. We can do it for you.

Do I need to register for VAT?

Only once your VAT-taxable turnover goes over £90,000 in any rolling 12 months, or you expect it to in the next 30 days. Some businesses register voluntarily. We’ll tell you if it makes sense for you.

I’m under the MTD threshold. Do I still need an accountant?

You still have a Self Assessment return to file every year. Plenty of clients use us to make sure every expense is claimed and nothing is missed, and the MTD threshold drops again in 2027 and 2028.

I’ve missed a deadline. Can you help?

Yes. We’ll get the outstanding returns filed, work out what’s owed and deal with HMRC for you. The sooner it’s sorted, the less the penalties grow.

Can you take over from my current accountant?

Yes. Once you sign up we contact them for the handover, get authorised with HMRC and pick up where they left off. You don’t need to have the awkward conversation.
